Cheese & Specialty Food Buyer

Reports to: Co-Owners

Status: Full time, exempt

Pastoral is an award-winning cheese, wine and specialty food retailer with a national reputation as Chicago’s hometown cheese shop. Our focus is on cut-to-order products of highest quality, with superior care, education and above-and-beyond customer service. In 2019, Pastoral is celebrating its 15th anniversary and remains committed to celebrating artisan producers, their stories and methods.

THE POSITION

The Cheese & Specialty Food Buyer is a key member of Pastoral’s management team that helps translate the Pastoral concept into the products that represent us to our customers in our three small retail shops and wine bar bistro. The position is a great role for a developing buying professional. It is a full-time, salaried, exempt position with attractive benefits, reporting directly to one of the Co-Owners.

 

Essential Job Responsibilities

 OVERALL PROGRAM MANAGEMENT

  • Maintain and build upon our established successful procurement strategy for retail & restaurant centered on strong long-standing relationships with supplier partners in order to maximize consumer and B2B customer value and satisfaction.
  • Identify, analyze & procure a profitable portfolio of retail and restaurant food products and store supplies consistent with the Pastoral concept; with an emphasis on highest quality, competitive, unique & differentiated goods from smaller producers wherever possible.
  • Represent Pastoral in the marketplace with the highest standard of ethics, respect and professionalism, which includes industry functions and business trips.

 

LOGISTICS & FINANCE MANAGEMENT

  • Set pricing & manage category margins in collaboration with the owners, store and restaurant operations teams to optimize product turn and company profitability.
  • Negotiate and analyze purchases from suppliers with an eye toward maximizing value for Pastoral; including minimizing price and shipping costs and maximizing customer allowances such as sampling, marketing & price breaks.

 

PRODUCT SELECTION & EDUCATION

  • Manage a food portfolio that balances the need for accessibility/practicality with differentiation/innovation.
  • Responsibly sources from producers with a proven record of safety.
  • Serve as one of Pastoral’s key food product experts, who champion the products to all.
  • Plan, identify & project category and product portfolio based on historical and current market data with an eye toward emerging and declining trends.
    • Lead Pastoral’s consumer and employee food education team; including teaching Pastoral consumer and other external classes/events

  SPECIAL PROJECTS/OTHER DUTIES

  • Partnering with the beverage buyer and the heads of catering and production kitchen, to oversee the periodic revision, from concept to completion, of Pastoral’s retail catering, sandwich and picnic menus, gift collection themes and product sets. Owners and store managers are key stakeholders.
  • Participate in relevant food/trade events on Pastoral’s behalf to identify new products and potential suppliers, as well as maintain a presence in the industry as a whole.
  • Other duties as assigned.

 Qualifications

  • Passionate, reliable and collaborative professional with a ‘can do’ attitude.
  • Cheese and Specialty Food Buying experience strongly desired.
  • Comprehensive knowledge of food and beverage preparations, service standards
  • Working knowledge of current food safety/sanitation training required
  • Superior project management and organizational skills
  • Demonstrated financial literacy. Previous P&L management responsibility a plus
  • High proficiency with Microsoft Office suite; experience with Excel spreadsheet management required
  • Knowledge of Quickbooks POS preferred but not required
  • Ability and eagerness to communicate (listening, verbal and written) effectively and respectfully.
  • Familiar with inventory management, cost/shrink control, and menu costing and planning
  • Ability to utilize proper bending, lifting, stooping, pushing, pulling, and climbing techniques; must be able to lift in excess of 50 pounds

Counter Sales Associate

 Reports to: Retail Operations Manager

 Status: Full time/Part time, non-exempt

  Overview: Counter Sales Associates will deliver impeccable customer service while educating Pastoral's customers about the fascinating world of artisan cheese, charcuterie, bread, and wines. The Counter Associate will assist with opening and closing procedures, and will assist with catering and gifting needs as needed.

  Requirements

  • Prior education in or professional experience with small-batch, artisan food (particularly cheese and/or wine) is strongly preferred
  • Willingness to study and learn about our always-changing mix of artisan cheese, wine, charcuterie, bread and accompaniments
  • Proficient knife skills
  • Must be able to work a flexible schedule including weekends and throughout the holiday season
  • Must obtain Food Handler license upon employment

Sandwich Bar Associate

Reports to: Store Operations Manager

Status: Full time/Part time, non-exempt

Overview: Sandwich Bar Associates will focus on fulfillment of sandwich and salad orders, catering and fulfillment prep, and provide outstanding customer service to all guests. The Associates will assist with opening and closing procedures, and assist other team members as needed.

Warehouse Receiver and Administrative Assistant

Reports to: Facilities Operations Manager

Status: Full Time, Non-exempt

 The Warehouse Receiver and Administrative Assistant is an hourly-compensated employee who reports directly to the Facilities Operations Manager and supports the Logistics Manager in day-to-day functions which include but are not limited to:

 Essential Job Responsibilities:

  • Receive deliveries to the warehouse facility; organize and maintain all warehouse inventory
  • Responsible for receiving area’s cleanliness before and after receiving product
  • Accurate recording of all weights, price differences, batch numbers and noting of discrepancies on invoices and receiving log per HACCP plan
  • Responsible for ensuring efficient and accurate intra-store transfers; work in conjunction with Pastoral drivers to achieve 100% transfer accuracy rate
  • Responsible for the overall care and rotation of all refrigerated products; ensure proper FIFO procedures, label and date all perishable products, and rotating product
  • Conduct a daily walk-through of all refrigeration units; clean and organize as needed
  • Re-wrap and face all cheeses on weekly basis, excluding wholesale cheeses
    • Create, follow and update as needed perishable product care schedules
    • Other Duties as assigned
  • Overall monitoring and standardization of company-wide invoicing procedures
  • Accurately voucher products received at Fulton Commissary/Warehouse, follow up on all receiving and/or invoicing issues and resolve in tandem with the Warehouse Logistics Manager accurately and efficiently
  • Responsible for monthly inventory of Fulton Commissary -  Provide any necessary administrative aid to execute retail and restaurant inventories and address inventory problems accurately and efficiently
  • General warehouse help - aid in checking in / splitting/ putting away product after it arrives
  • Generation of POS intra-store transfer slips and processing of driver tips
  • Assisting in the Business Office with various administrative needs (invoicing, filing, etc.)

Requirements

  • 1+ year of warehouse experience; 1+ year administrative experience
  • Attention to detail; skilled in effective time management, organization, multitasking, and prioritization
  • Ability to learn and follow basic principles of inventory control
  • Proficiency in Microsoft Office products
  • Ability to work well individually and as a part of a team; ability to communicate professionally with employees and clients alike

Production Cook

Reports To: Commissary Production Supervisor

Status: Part-time to Full-time, non-exempt

 Overview:  The Production Cook is responsible for assisting in production of Pastoral's commissary house-made food items, catering production and assembly, inventory product care, as well as participating in regular location inventories.

 Essential Job Duties:

  • Prepare house-made food items for Pastoral retail locations, and catering operations according to standardized recipes, and maintain seasonal par levels
  • Execute successful catering orders for Pastoral’s retail and commissary kitchen locations
  • Ensure proper stock rotation and product care; document production and shrink logs
  • Assist with weekly and monthly formal product inventory counts
  • Maintain a safe, sanitary and professional work environment; learn, understand and follow all city, state, federal and Pastoral food safety regulations and/or guidelines and standards; adherence to HACCP protocol
  • Perform daily cleaning duties, in addition to weekly cleaning projects (ex. drains, walls, floors, garbage cans, etc.)
  • Clean and sanitize production equipment, work surfaces, and kitchen
  • Adhere to proper food and sanitation protocols
  • Other duties as assigned
  • Ensure that walk-ins, freezers, and all food prep areas are kept clean and organized

 Qualifications:

  • 1+ years experience working in a restaurant, prep kitchen or equivalent
    • Demonstrated knowledge of kitchen conduct; excellent knife skills, and food safety handling
    • Open availability - able to work days and/or night shifts
    • Excellent verbal and communication skills
    • Illinois Food Handler Certificate required
  • Strong attention to detail; must be focused and organized; able to prioritize projects effectively

Dishwasher

Reports to:     General Manager

Status:            Full time/Part time, non-exempt

 Responsibilities Include:

  • Wash, clean, and store tableware, pots, pans, and cooking equipment; keep the kitchen and equipment clean and organized
  • Operate dish washing equipment
  • Perform daily cleaning duties, in addition to weekly cleaning projects (ex. drains, walls, floors, garbage cans, etc.)
  • Clean and sanitize production equipment, work surfaces, and kitchen
  • Polish glassware and silverware
  • Basic food preparation, including some light cutting and baking
  • Other duties as assigned

Requirements:

  • Experience working as a Dishwasher or Busser 
  • Demonstrated knowledge of kitchen conduct 
  • Night and weekend availability; must be available throughout peak seasons 
  • Must obtain Food Handler license upon employment if not already certified
  • Must be able to stand for extended periods of time and withstand exposure to cold, heat, and water
